The short answer

How much does AI training for employees cost?

Published estimates put self-paced AI training at roughly $200 to $500 per seat per year, live instructor-led courses at $800 to $3,000 per seat, and facilitated cohorts at $5,000 to $15,000 per cohort. The bigger cost is often the licence nobody uses: 100 Microsoft 365 Copilot Business seats cost $25,200 a year at Microsoft's list price.

What decides value is whether the training stays current when the tools change, and whether you can show who is trained.

Self-paced
About $200 to $500 per seat per year (estimate)
Live instructor-led
About $800 to $3,000 per seat (estimate)

What does AI training cost by format?

Prices depend mostly on format: a library people work through alone costs least per seat, and anything with a live trainer costs most. These ranges are third-party estimates, not quotes, and they move with team size and region.

What does an unused Copilot licence cost?

Microsoft lists Microsoft 365 Copilot Business at $21 per user per month on a yearly plan. For 100 people that is $25,200 a year.

Microsoft's AI adoption score counts a person as fully adopted at 12 active days out of the last 28. If half of those 100 seats sit below that line, about $12,600 a year of licence is under-used. That is our arithmetic from Microsoft's list price and its own definition, not a Microsoft figure.

Seen that way, training is usually the smaller line in the budget, and the one that decides whether the larger one pays off.

PlanPer user per month, paid yearlyPaid monthly
Microsoft 365 Copilot Business (add-on)$21.00$25.20
Microsoft 365 Business Standard with Copilot$23.50$28.20
Microsoft 365 Business Premium with Copilot$32.00$38.40

Microsoft lists a first-year promotional price of $18.00 for the Copilot Business add-on for eligible existing Business customers from 1 July to 31 December 2026.

One workshop or an ongoing subscription?

A workshop is one payment for one moment. It is the right choice for a kick-off. But Microsoft, OpenAI and Anthropic ship changes every month, so what people learn in March describes a different product by September.

A subscription costs every year, and should earn that by changing when the tools do. Ask any provider three questions: when was each lesson last checked against the vendor, what happens to a lesson when the feature changes, and can you show who was current on a given date.

What should an AI training budget line include?

  • Seats for everyone with an AI tool, not only the pilot group.
  • Role or department content, so people practise on their own work.
  • A way to check skill, not attendance.
  • Updates when the tools change, with dates you can see.
  • A record of who is trained, for managers, auditors and customers.
  • Policy training: what may go into which tool.

How is Train Space priced?

Train Space is a subscription per seat per year, bought per program: AI essentials, AI on real work, Agents and automation, the Microsoft Copilot course, the Security Awareness Program and Secure AI coding. There is no public price list; book a demo and we'll quote for your team.

Every seat includes lessons rechecked against vendor sources on a schedule (45 days for Copilot), checks scored on the server, refresh checks when mastery fades, and a manager view of who is current as of any date, with an export.

Ask your question

How much does AI training cost per employee?

Published estimates put self-paced platforms at about $200 to $500 per seat per year and live instructor-led training at about $800 to $3,000 per seat. Named providers that publish prices include Section ($62.50 a month billed annually for Teams Premium) and Mindstone ($399 per employee for teams of 100 or more).

Is Microsoft's own Copilot training enough?

Copilot Academy comes at no extra charge with a qualifying Microsoft 365 or Viva licence and teaches Copilot well. It covers Microsoft's tool only, and Microsoft doesn't describe a scored check or a record of who is current. Many companies use it as reading alongside paid training.

Do AI training providers give volume discounts?

Most quote by team size. Alice Labs' 2026 estimate is 15 to 20% off for 26 to 100 seats and 25 to 35% off for 100 to 500 seats. Ask for a quote rather than relying on list prices.
